Based in our London, Ontario office, working under the direction of the Southwest District Manager, the Administrative Assistant is responsible for general office administration providing support to the Estimating Department and Accounts Payable processing. Responsibilities: Project Bidding Support - Obtain bid documents, drawings and bid deposits. - Data enter bid information in Estimating Software. - Assist in obtaining subcontractor and material quotes, fill in and deliver tenders - Complete post bid data, bid results. - Complete preconstruction module and submit for job numbers. Project Management Administration - Order final bonds and insurance. - Obtain preconstruction documents (WSIB, OH&S, Statutory Declarations). - Create Purchase Orders for materials and subcontractors. - Goods receipts - receive, sort, verify, and distribute, process. - Contact vendor to resolve issues. - Copy and file payable invoices for job cost folders. General Office Administration - Provide administrative assistance to the District Manager. - Reception - answer incoming phone calls and greet customers at front desk, incoming/outgoing mail including courier documents. - Bank deposits. - Manage office equipment (photocopier, postage machine). Position Dimensions: - Proficient in Microsoft Excel and Word. - Excellent oral and written English communication skills. - Solid organizational, analytical and prioritizing skills. - Highly organized and time conscientious. - Initiative to improve business practices and foster a team environment. - Ability to work in a fast paced environment and work well under pressure. Experience & Educational Requirements: - Minimum 1 to 3 years related administrative work experience with at least 2 years working in an administrative role with AP duties. - Certificate/diploma in Office Administration an asset.
