The Executive Assistant manages executive correspondence and corporate documents, schedules meetings, manages calendars and access to the CEO, scans incoming correspondence for salient issues, arranges executive travel and completes expense reports. The Executive Assistant is privy to sensitive information and demonstrates superior discretion in addressing issues and responding to queries on behalf of the CEO and/or the leadership team. Duties include preparing and/or polishing executive correspondence using Microsoft Word and PowerPoint. This role also organizes various meetings and offsite events. The Executive Assistant serves as Secretary to the Board of Directors and the Board's Finance Committee, organizing and distributing advance materials and issuing accurate, timely minutes. This responsibility requires occasional travel to Toronto. The Executive Assistant also serves as office manager, managing the office supply budget and inventory, ordering kitchen supplies, and serving as a knowledgeable point of contact for the team, external suppliers and external stakeholders. CORE DUTIES* - Provide effective administrative and office management support to the CEO, and selectively to members of the leadership team - Receive and screen incoming calls, correspondence and visitors to the office, taking care to present a positive and professional image of the organization at all times - Maintain schedules and engagement calendars of the CEO - Coordinate leadership team meetings, prepare agendas and background materials, issue invitations, arrange for technology needs, and take minutes as required - Manage and protect all confidential documentation and correspondence relating to the organization - Review and prioritize incoming and outgoing correspondence and materials directed to the CEO, identify significant items for review/attention - Organize and maintain all office files, records, and company policies - Arrange all aspects of travel and accommodation for the CEO - Prepare and reconcile expense reports for the CEO and designated executives, submitting completed forms to the Manager, Financial Accounting or VP Finance - Manage the office supply budget; work with Finance/Administration to establish an annual budget - Order / purchase office supplies as required - Maintain and manage equipment and service contracts - Serve as Secretary to The Board of Directors and Finance Committee, preparing and distributing preparatory materials in advance, attending meetings (some are in Toronto), taking and issuing accurate and timely minutes - Organize various multi-day offsite meetings / events for the leadership team and/or full team, selecting the venue, arranging for travel and accommodations, meals and entertainment and serving as the point of contact for details pertaining to the events - Foster a positive, supportive and professional work environment in which everyone is treated with dignity and respect REQUIRED SKILLS AND ATTRIBUTES Skills and Experience - College diploma in Business or Office Administration or an acceptable combination of education and progressively responsible experience - 5+ years of direct work experience in a Senior Executive Assistant capacity - Exemplary knowledge of general office procedures - Experience in event planning is an asset - Demonstrated superior proficiency in software computer applications - specifically the Microsoft Office suite (Word, Excel, PowerPoint, Outlook) - Excellent Project Management skills Attributes -Superior attention to detail - takes personal pride in the quality of output - Takes initiative - anticipates needs and seeks continuous improvement - High level of integrity, confidentially, and accountability; demonstrates discretion - Superior planning and organizing skills - Collaborative - works well with other areas of the organization - Positive and mature disposition - Good problem resolution skills - Superior time management skills - Advanced communication skills - written and oral - Professional image and demeanor *Note: The "Core Duties" is a summary of the duties that are essential to this role and is not an exhaustive list.
